Overview

Houston Harbaugh is seeking a full-time Billing Coordinator to join our law firm located in downtown Pittsburgh. The billing coordinator position is responsible for executing attorney billing and conducting thorough conflict checking. The position may also perform a variety of other accounting and bookkeeping duties according to established procedures. The billing coordinator will maintain contact with attorneys, staff, vendors, and clients and observe confidentiality of client and firm matters.

Essential Duties and Responsibilities:

  • Reviews and edits pre-bills in response to attorney and staff requests.
  • Run pre-bills for attorneys on designated billing periods.
  • Performs complete conflict checking.
  • Apply retainer funds as directed by attorney.
  • Process write-offs following Firm policy.
  • Ability to execute complex bills in a timely manner (i.e., multiple discounts by matter, split-party billing, preparation of electronic bills).
  • Creates electronic invoices using multiple third part billing systems.
  • Ability to handle a high volume of bills per month.
  • Ability to effectively interact and communicate with attorneys, staff, and clients.
  • Review and verify accuracy of billing and supporting documentation as required.
  • Research and respond to inquiries regarding billing issues and problems.
  • Create new billing formats as needed.
  • Create billing schedules and various other billing analyses as required.
  • Creates and prints final client billing.
  • Utilizes computerized accounting and payables software programs (Juris, Excel, Word) to perform duties and responsibilities.
  • Operates office equipment including personal computer, copier, fax machine and calculator.
  • Ensures strict confidentiality at all times.
  • Assists with special projects as needed.

The ideal candidate should have the following qualifications:

  • Minimum of 5 years billing experience in a law firm environment.
  • Electronic billing experience in a law firm environment.
  • Working knowledge of e-billing vendor platforms and outside counsel guidelines.
  • Excellent written and verbal communications skills along with an aptitude for working with numbers.
  • Detail-oriented with a positive approach to customer service.
  • Ability to anticipate and prioritize work needs.
  • Follow-through with minimal direction and follow-up independently as needed.
  • Perform professionally under tight deadlines in a fast-paced environment.
